Privacy Policy

Your collection should stay yours.

This policy explains what information ScanMyBinder handles, why it is used, and the choices available to you. Last updated October 3, 2026.

Information we collect

When you create or use an account, we may receive basic account information from the sign-in method you choose, such as your email address, display name, profile image, and a unique account identifier.

We store information you choose to add, including cards, binders, quantities, conditions, grades, purchase prices, tracked sets, trade records, profile settings, and collection-sharing preferences.

We may also process basic technical and usage information needed to operate, secure, troubleshoot, and improve the service, such as request timing, feature usage, error details, and scanner usage counts.

Website analytics

We use Cloudflare Web Analytics to understand website traffic and loading performance. We do not send your card photos, collection contents, email address or grading results as analytics events. Our private owner dashboard also summarizes existing account and feature-usage records to help operate the service.

Card scans and images

When you request an AI Pre-Grade Estimate and visual report, both front and back photos are sent to OneGrade for the main estimate and to Ximilar for the Visual Assessment where available. A separate visual-report request sends both photos to Ximilar. Completed scores, original photos and report images are stored privately when storage succeeds. Saved grading reports are available for 7 days on Free and 30 days on Pro, measured from the assessment date and checked against your current plan. Expired reports are inaccessible immediately; background cleanup removes their saved scores and images in batches. Download a PDF before expiration to keep your own copy. Upgrading cannot restore deleted reports. We retain assessment identifiers, photo-pair fingerprints, status and usage records to prevent duplicate charges and incorrect credit refunds. Account deletion also removes stored grading images. Reopening may retrieve an existing analysis from the provider, but does not submit a new grade. Older estimates may contain scores only.

When you use the scanner, the card image is sent to an image-analysis provider to suggest identifying details. ScanMyBinder does not use a scan to determine ownership, authenticity, or condition, and the suggested match must be confirmed by you.

Scanner photos are processed to complete the identification request and are not intentionally saved to your collection unless a feature clearly asks you to upload or save an image.

If you prepare an eBay listing, the front and back photos you choose are stored privately with that draft. They are removed when you delete the draft, remove the collected card, or delete your account. A saved listing draft does not publish anything to eBay.

If you connect an eBay seller account, we store an encrypted authorization token so you can use that connection later. You can disconnect it from the selling area; deleting your ScanMyBinder account also removes the stored connection. Disconnecting here does not revoke authorization in eBay, which you can manage in your eBay account.

Subscriptions and payments

Stripe processes subscription payments and provides the billing portal. Stripe receives the information you enter during checkout or billing management. ScanMyBinder stores Stripe customer and subscription identifiers, plan and billing status, checkout records, billing-event identifiers, and usage allowances to provide paid access and prevent duplicate requests. We do not store your full payment-card number or security code.

Deleting your ScanMyBinder account cancels its linked subscription and removes local billing records. Stripe may retain payment and invoice records under its own retention policies and applicable requirements.

How we use information

We use information to provide accounts, save and value collections, identify cards, display price history, support sharing features you enable, prevent misuse, respond to support requests, and maintain the reliability and security of ScanMyBinder.

We do not sell your personal information. Your collection is private unless you deliberately enable a sharing feature.

Services that help operate ScanMyBinder

We rely on service providers for sign-in, hosting, storage, card-image analysis, card catalogs, market estimates, and error prevention. Depending on the feature, these may include Google, Supabase, Stripe, OpenAI, OneGrade, Ximilar, PkmnPrices, TCGdex, PikaQian, Resend, Cloudflare, eBay, Amazon, and hosting infrastructure providers. Those services process information under their own terms and privacy policies.

Links to marketplaces may contain affiliate tracking. A marketplace may use cookies or similar technologies after you follow a link to measure a qualifying purchase.

Retention, security, and your choices

We retain account and collection information while your account is active and as reasonably necessary to operate the service, resolve disputes, prevent fraud, and meet legal obligations. No online service can guarantee perfect security, but we use reasonable safeguards and limit access to information.

You may stop sharing a collection at any time. You may also request access to, correction of, or deletion of your account information by emailing support@scanmybinder.com. We may need to verify that the request belongs to you.

Children and policy changes

ScanMyBinder is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided information, contact us so we can review and remove it where appropriate.

We may update this policy as the service changes. The updated date at the top will show when the latest version took effect.
